Once an issue has been raised to the person responsible, if there is no clear response or concrete progress within 24 hours, it must be escalated to that person's immediate supervisor. If another 24 hours pass without resolution, escalate again — one level higher.

You must read this handbook within your first 3 days of employment. All employees are required to comply with the policies described here.

1. 总则 General Provisions

1.1 目标 Objectives
This Human Resources Policy Manual contains guidelines, benefits, policies and procedures applicable to all employees of the WEBUY Group.
本《人力资源政策手册》包含适用于 WEBUY 集团所有员工的指南、福利、政策和程序。

1.2 员工定义 Employee Definition
"Employee" covers all full- and part-time employees who have entered into a written service contract with the Company. If the policies in this manual differ from the terms of the employee's service contract, the contract terms shall prevail.
"员工"指与公司签订书面服务合同的所有全职和兼职员工。手册政策与合同条款冲突时,以合同条款为准。

1.4 个人资料变更 Change of Personal Information
Notify HR of any changes to personal information (marital status, address, phone number, etc.) as soon as possible.
如婚姻状况、地址、电话等个人资料有变更,请尽快通知 HR 更新档案。

1.5 政策变更通知 Policy Changes
The company may add, modify or repeal any policy at any time. Employees will be notified via LARK or employee notices/memos.
公司可随时增加、修改或废止政策。变更将通过 Lark 或员工通知/备忘录告知。

2. 雇佣条款与条件 Employment Terms and Conditions

2.1 雇佣前条件 Pre-employment Conditions
Before appointment, candidates must: (a) be medically certified fit (where applicable); (b) provide proof of citizenship, education or work experience; (c) have no criminal or civil proceedings or bankruptcy status. If any conditions are violated or material facts concealed, the company reserves the right to terminate employment immediately without notice.
入职前须满足:(a)通过体检(适用职位);(b)提供公民身份、学历或工作经验证明;(c)无刑事/民事诉讼或破产状态。违反任何条件或隐瞒重要事实,公司保留无通知即终止雇佣的权利。

2.2 入职引导 Orientation
Orientation is held on your first day of work, covering an introduction to the company, key personnel, and company policies, procedures and practices. HR will introduce you to your immediate supervisor or manager.
入职引导于上班第一天举行,包括公司介绍、关键人员介绍及政策程序简介。HR 将为你介绍直属主管。

2.3 试用期与转正 Probation and Confirmation
All new full-time employees go through a 3-month probationary period. Employees and their supervisors fill out a Monthly Evaluation Report each month. In the third month, employees present their progress to the management team for evaluation. The company may confirm or terminate employment at the end of the probation period. Salary increases upon confirmation are not guaranteed unless specified in the employment contract.
所有新入职全职员工须经历 3个月试用期。每月须填写月度评估报告。试用期第三个月向管理团队展示绩效。试用期结束后,公司可确认转正或终止雇佣。转正时不保证加薪,除非合同另有规定。

2.4 雇佣终止 Termination of Employment
Either party may terminate by written notice or by paying Payment In Lieu Of Notice (PILON) equal to the base salary for the notice period. Accumulated leave or unconsumed public holidays may not offset the notice period without management approval. Upon termination, all company property must be returned and outstanding amounts repaid before the final salary is paid.
任何一方可书面通知终止,或支付等同于通知期基本工资的代通知金(PILON)。累计假期/未消耗公假不得抵通知期(须管理层批准除外)。离职须归还所有公司财产并结清欠款,方可发放最终薪资。

2.5 工作日与休息日 Working Days and Rest Days
General working days: Monday to Friday. General rest days: Saturday, Sunday, and government-announced public holidays. The company may change rest days or business hours based on operational needs and will notify employees.
一般工作日为周一至周五,休息日为周六、周日及政府公布的公共假日。公司可因业务需要调整,并提前通知员工。

2.6 工作时间 Working Hours

Specific working hours follow your employment contract. The company may change working hours with advance notice to meet business requirements.
具体工作时间以劳动合同为准。公司可因业务需要调整工时,并提前通知受影响员工。

2.7 加班 Overtime
Overtime means work at the company's request beyond normal contractual hours. All overtime must be requested and approved by your immediate supervisor before it begins. Specific compensation follows local laws.
加班指应公司要求在合同约定正常工时之外工作。所有加班须在开始前获得直属主管批准。具体补偿按当地法律执行。

2.8 申诉程序 Grievance Procedure
(a) First raise the complaint orally with your immediate supervisor within 3 working days. (b) If unresolved within 3 working days, submit a written complaint to HR for further investigation. All employees should also adhere to the company's Open Policy via LARK.
(a)事发后3个工作日内先向直属主管口头提出申诉。(b)若3个工作日内未解决,书面提交 HR 进一步处理。同时可通过 Lark 使用公司"开放政策"沟通渠道。

2.9 公共假日 Public Holidays

5.5 or 6-day work week (shift work) Please refer to your employment contract terms.
请参照劳动合同条款。

Off-in-lieu for public holidays must be used within 6 months of the public holiday date; otherwise it expires automatically. Employees required to work on a public holiday will be compensated with 1 day's basic pay or compensatory time off.
公假补休须在公假日期起6个月内使用,否则自动失效。在公假日工作者,可获1天基本工资或补休。

3. 规章制度 Rules and Regulations

3.1 公司财产 Company Property
All company property must be returned before leaving employment. The company reserves the right to claim costs for unreturned or deliberately damaged property.
离职前须归还所有委托的公司财产。公司保留索赔未归还或故意损坏财产成本的权利。

3.2 保密 Confidentiality
All trade secrets, customer databases, proprietary information and confidential information received during employment are strictly confidential. Do not disclose or discuss sensitive information (salary, compensation, bonuses) with other employees. These obligations continue after termination of employment.
在职期间所获商业秘密、客户数据库、专有信息及机密信息须严格保密。不得向其他员工透露薪资、薪酬方案、加薪或奖金等敏感信息。上述条款在离职后继续有效。

3.3 考勤与守时 Attendance and Punctuality
Every employee must record attendance via LARK (or other clock-in method) when starting and ending work — including working from home or outside the office. If clock-in time differs from specified hours, prior approval from your superior is required.

💡 Each person is granted 3 late-arrival exemptions per month, each not exceeding 10 minutes.
每人每月有 3次不超过10分钟的迟到豁免机会。

3.4 迟到与早退 / 3.5 旷工 Absenteeism
Employees should be present on all scheduled working days unless prior written approval has been obtained. Any absence of more than 2 consecutive working days (48 hours) without reasonable explanation, supporting documents or official leave will be considered a breach of contract and may result in immediate termination without notice.
员工应在所有预定工作日出勤,除非事先获书面批准。连续缺勤超过2个工作日(48小时)且无合理解释、证明文件或正式假期,将视为违约,可能导致无通知即终止雇佣。

3.6 利益冲突 Conflict of Interest
Promptly disclose to the company any potential conflict of interest, including being employed by or interested in any business similar to the company's. You may not accept any payment, commission, kickback, or profit from parties doing business with the company.
如存在潜在利益冲突(包括受雇或关注与公司业务类似的企业),须及时向公司披露。不得从与公司有业务往来的方接受任何佣金、回扣或利润。

3.7 非法骚扰 Unlawful Harassment
The company does not tolerate harassment of employees by any person (managers, colleagues, clients, suppliers, contractors, visitors) — or by employees toward any external party. Investigations will be conducted and appropriate disciplinary action taken if reports are substantiated.
公司不容忍任何人(包括经理、同事、客户、供应商、承包商、访客)对员工的骚扰,也不容忍员工骚扰任何外部人员。如经调查属实,将予以适当纪律处分。

3.8–3.9 纪律准则与纪律处分 Disciplinary Guidelines and Measures
Depending on the severity of misconduct, disciplinary action may include: (i) Warning letter; (ii) No promotion and/or bonus; (iii) Demotion and pay reduction; (iv) Dismissal.

3.10 荣誉表彰与卓越贡献奖励 Recognition and Merit Awards
The company recognises outstanding contributions through a merit awards framework covering: Letter of Commendation, Third-Class, Second-Class, and First-Class Merit Awards (individual or team). Awards are based on facts, impact, and outcomes — applied fairly and not as an automatic entitlement. Nominations are reviewed and approved through HR and management per the guidelines. Approved recognition may be announced via LARK, department meetings, or town halls.
公司设立荣誉表彰机制,涵盖:通报表扬、三等功、二等功、一等功(个人或集体)。奖励以事实、影响和结果为依据,公平审慎执行,非自动性福利。经 HR 和管理层审批后,可通过 Lark、部门会议或全员会议公布。

3.11 着装要求 Dress Code
The company has no dress code. Employees are free to wear whatever they like. However, dress appropriately and professionally when meeting external clients or parties.
公司无着装要求,员工可自由穿着。但与外部客户/合作方会面时,请着装得体以体现专业性。

4. 薪酬 Salary

Payment 发放 Base salary and fixed allowances are deposited into your bank account within 7 working days after the end of the pay period.

Deductions 扣款 The company may deduct for absences, CPF/social insurance contributions, loan repayments, damage to company property, government income tax, and other authorised deductions per local laws.
公司可依法扣除缺勤、CPF/社保缴款、贷款偿还、财产损坏赔偿、政府所得税等款项。
Final Pay on Resignation 离职最终薪资 Wages paid within 30 days from the termination date (or as agreed). Foreign employees' final salary may be withheld until income tax is settled with the government.
离职后30天内支付(或按约定)。外籍员工最终工资可扣留至所得税结清为止。
Salary Confidentiality 薪资保密 Do not disclose your salary, compensation package, annual increment or bonus details to other employees.
不得向其他员工透露你的薪资、薪酬方案、年度加薪或奖金详情。

5. 员工福利 Employee Benefits

⚠️ Before taking any leave, communicate with your supervisor in advance and arrange work responsibilities appropriately.
休假前须提前与主管沟通,妥善安排好工作后再执行。

5.1.1 年假 Annual Leave

⚠️ Eligibility: All full-time employees who have completed 3 months of service OR passed probation (whichever is earlier) are eligible for annual leave, subject to supervisor approval.
资格要求:服务满3个月或已通过试用期(以较早者为准)的全职员工方可申请年假,须主管批准。

    Annual leave accumulates from 1 January each year. Unused leave may be carried forward but must be used by end of Q2 of the following year (otherwise it expires).
    年假从每年 1月1日开始累积。未用年假可结转,但须在次年第二季度结束前使用(否则失效)。

    Minimum unit: 1 full day per application. Unused annual leave cannot be encashed.

    Apply in advance (recommend 2 weeks / 14 days notice) via Lark to ensure adequate staffing.

5.1.2 预支/无薪假 Advance / Unpaid Leave
The company may grant advance or unpaid leave subject to management approval and operational requirements, but only if the employee is on probation or has used up all annual leave.
公司可基于管理和运营需求批准预支或无薪假,但仅限员工处于试用期或所有年假已用完的情况。

5.1.3 病假与住院假 Sick Leave and Hospitalisation Leave

⚠️ Only full-time employees who have PASSED their probationary period are entitled to sick leave and hospitalisation leave. Employees still on probation are not eligible. After probation, you cannot claim reimbursement for medical expenses incurred during the probation period.
仅通过试用期的全职员工方可享有病假和住院假。仍处于试用期的员工不享有此权益。转正后,不可申报试用期内发生的医疗费用。

5.1.4 补休 Compensatory Leave
Compensatory leave arises when employees work overtime, on public holidays, or on rest days. Requirements: (I) Prior written approval from direct supervisor required. (II) Copy HR for record. (III) Comp leave (except PH comp leave) cannot be encashed or used as part of the notice period. (IV) Must be used within 6 months from the date it arose. (V) Unused comp leave after 6 months expires automatically. (VI) Unused comp leave (except PH comp leave) is forfeited upon any termination of contract.
补休产生于加班、公假日上班或休息日上班时。(I)须事先获直属主管书面批准。(II)抄送 HR 备案。(III)补休(公假补休除外)不可折现或用于通知期。(IV)须在产生之日起 6个月内使用。(V)超期未用自动失效。(VI)合同终止时,未使用补休(公假补休除外)自动失效。

5.2 医疗福利 Medical Benefits (Flexi Credit)

⚠️ Available only after passing the probationary period. For employees with less than 1 year of service, the credit limit is pro-rated based on days worked. Employees on probation are not entitled to reimbursement, and expenses incurred during probation cannot be claimed after confirmation.

体检 Medical Examination: After completing 2 years of service, employees may claim a comprehensive physical examination every 2 years (SG: max SGD 300 / MY: max MYR 600 / CN: max RMB 1,500).

All business travel requests must be approved by CEO/management via LARK before travel. Choose lowest-cost available flights. Any exceptions to accommodation require CEO approval before travel. Receipts faded or older than 2 months will not be reimbursed.

All other expenses must be pre-approved by management with a Purchase Requisition. All receipts/invoices must clearly state the description/reason. Rejected Purchase Requisitions will be rejected upon reimbursement submission.

6. 职业发展 Career Development

6.1 晋升 Promotion
The company may promote employees based on individual performance evaluations. Promotion evaluation is conducted annually. The company may change the schedule from time to time and will notify relevant employees in writing.
公司可根据个人绩效评估晋升员工。晋升评估每年进行一次。公司可调整时间表,并以书面形式通知相关员工。

6.2 调岗 Transfer
The company may transfer staff between departments to expand exposure, place the right person in the right role, adjust staffing needs, or for other appropriate reasons. Employees transferred will be notified in writing.
公司可因扩大员工接触面、合理配置岗位、调整部门人员需求或其他适当原因进行调岗。被调岗员工将以书面形式通知。

7. 居家办公 Work From Home (WFH)

Applicable to non-executive employees working from home due to work requirements, special circumstances (health, family care, work location), or company arrangements.

8. 数据隐私 Data Privacy
All employees must handle personal data (employee information, customer records, partner information) in compliance with local data protection laws. Core principles: legal compliance, minimum necessity, purpose limitation, security safeguards, transparency. Employee personal information is restricted to HR and immediate supervisors for essential purposes only. Customer information must not be used for unauthorised marketing.
所有员工须依法处理个人数据(员工信息、客户资料、合作伙伴信息)。核心原则:合法合规、最小必要、目的限定、安全保障、透明度。员工个人信息仅限 HR 及直属主管必要使用;客户信息不得用于未授权营销。

9. 举报人保护 Whistleblower Protection
Employees may report: financial fraud, misrepresentation, insider trading, bribery, conflicts of interest, trade secret disclosure, discrimination, harassment, workplace violence, significant safety hazards, environmental violations, or any breach of law or company policy. Whistleblowers acting in good faith are protected. Report to your direct supervisor, department head, or the corresponding HR representative. Anonymous email reporting is also available.
员工可举报:财务舞弊、虚假陈述、内幕交易、贿赂、利益冲突、泄露商业秘密、歧视、骚扰、职场暴力、重大安全隐患、环境违规或其他违法违规行为。善意举报人受保护。可向直属主管、部门负责人或对应 HR 报告,也可使用匿名邮件。

10. 反腐败 Anti-Bribery
Applicable to all employees, directors, executives, consultants, agents, suppliers, contractors, and third-party partners. Covers all business activities including negotiations, procurement, government affairs, gifts/hospitality, and sponsorships. Violations may result in warnings, demotion, dismissal, legal liability, and recovery of illicit gains.
